Role Overview
The Personal Social Media & Content Assistant will design, manage, and optimize the systems that support consistent, high-quality content creation and publishing across multiple platforms. This role owns the structure behind the content, ensuring workflows are proactive, efficient, and sustainable within a full and dynamic schedule.
This position goes beyond posting and execution. It focuses on building repeatable systems, anticipating upcoming moments, and coordinating all moving parts of content creation, from ideation to publication. The role works closely with the client, as well as photographers, videographers, and external editors, to keep content flowing smoothly with clarity and momentum.
Responsibilities
Key Responsibilities
Systems & Workflow Design
Build and maintain end-to-end systems for content planning, creation, approval, and posting
Design workflows that make real-time content capture simple and frictionless
Create systems to manage evergreen assets for easy reuse and repurposing
Develop clear handoff processes, timelines, and approval flows with internal and external partners
Proactively identify inefficiencies and refine systems over time
Content Planning & Proactive Execution
Own monthly and weekly content calendars to support daily Instagram posting and consistent cross-platform activity
Align content planning with the client’s personal and professional calendar to anticipate content opportunities
Flag upcoming events, travel, meetings, and moments suitable for content
Create content moodboards, shot lists, and filming plans aligned with brand and lifestyle
Communicate weekly filming needs clearly and hold stakeholders accountable to deadlines
Instagram Management
Manage daily Instagram feed and Stories posting
Recommend content formats based on performance, trends, and brand alignment
Create Stories graphics and simple visual assets using Canva
Edit short-form videos in CapCut as needed
Coordinate with external editors and manage all handoffs and timelines
Engage proactively by commenting on a defined list of accounts
Asset Management
Create and maintain an organized, intuitive system for photo and video assets
Ensure evergreen content is tagged, searchable, and ready for reuse
Identify opportunities to repurpose existing assets into new posts and reels
Substack Management
Own the Substack editorial calendar and publishing workflow
Manage timelines to ensure bi-weekly long-form posts are published consistently
Expand Substack beyond long-form by planning and publishing three to five short updates per week
Build a proactive content pipeline to avoid reactive publishing
Cross-Platform Repurposing
Recommend adaptations of content across LinkedIn, TikTok, Threads, and Substack
Maintain a cohesive voice and aesthetic while respecting platform-specific nuances
Production Coordination
Schedule and coordinate photographers and videographers
Track deliverables from shoots through final edits
Follow up consistently to ensure timelines stay on track
